RepairFlow Pro

Run the whole repair shop from intake to hand-back.

RepairFlow Pro is the complete repair-shop platform: ticket intake with condition photos and a signature, a counter queue and a waiting-area display board, a parts inventory with a real ledger, POS billing with GST invoices and online payments, a customer khata that ages and prints statements, CRM, HR & payroll with technician commissions, accounting with a bank feed and a customer self-service portal — installed on your own server, multi-branch, and addable to a phone's home screen.

Walkthrough

Eight minutes inside the real product.

This is the actual application running on a local install with the sample shop loaded — the dashboard, ticket intake and the repair record, the workshop board and the waiting-area display, parts and stock transfers, POS billing with GST, the customer ledger with cheques and the day close, appointments and AMC, the team and payroll, the customer portal, and reports, roles, audit and backups. English captions are included; jump to any chapter below the player.

Why RepairFlow Pro

Built around the ticket, not around a demo.

Intake photos and a signature, device and fault details, an estimate the customer approves, the parts and the hours on the bench, the invoice and the signed delivery — all on one record with a full timeline.

One ticket, the whole journey

Intake photos and a signature, device and fault details, an estimate the customer approves, the parts and the hours on the bench, the invoice and the signed delivery — all on one record with a full timeline.

Money that ties out

Khata aging is derived from the same figures the invoice screen shows, statements reconcile to the paisa, every stock change is a ledger row, and a drawer that does not balance refuses to close without a written reason.

Derived balances Z report

Honest about what's connected

The five payment gateways ship disabled and no provider keys are ever seeded — nothing collects a rupee until you enter your own credentials, and a screen that is not configured says exactly that.

How a repair moves

Five stages, every one on the record.

Everything in the box

The whole repair shop, module by module.

Repair tickets, end to end

  • Intake with condition photos, a customer signature and device & fault details
  • Cost estimates the customer approves or rejects; a status workflow with a full timeline
  • Technician assignment and logged labour time, with job costing and margin per ticket
  • Pickup and on-site visits, warranties and warranty claims
  • Delivery with a signed note and an optional handover code
Timeline Estimates Warranty

Queue & display board

  • A branch-daily token issued with every ticket, and 80 mm token slips
  • A front-desk queue with keyboard shortcuts for the rush
  • A full-screen waiting-area TV board with spoken announcements
  • Promo slides, a review QR and a live repair-status rotation on the board
Tokens TV board Announcements

Inventory with a real ledger

  • Every stock change is a movement row; on-hand quantity is derived, never hand-edited
  • Low-stock alerts, stock takes and per-branch quantities
  • Stock transfers between branches: draft → sent → received, both legs posted to the ledger
  • Short deliveries received in part — the receipt note records what never arrived
  • Reorder suggestions that draft a purchase order in one click
Ledger Transfers Reorder

Parts held for a job

  • The bench claims stock before it is fitted — the counter cannot sell what a job holds
  • Billing the job's parts turns the claim into fitted stock
  • A finished or cancelled job releases everything it held
  • Held parts show up on the workshop's “what needs me now” board
Holds Fitted Released

Bench, dispatch & labels

  • A technician bench — “my jobs”, next-step buttons and the live queue token
  • A dispatch board for riders and pickup / visit stages, with ready-to-hand-back
  • Printable barcode label sheets, drawn as real Code 128
  • Role-based access decides who can move, fit, bill or hand back
Bench Dispatch Code 128

Billing, POS & GST

  • A fast counter POS with barcode scanning, and quotations the customer accepts through a private online link
  • Part-payments, and partial returns with GST credit notes — refund to cash or store credit, or simply reduce the bill
  • A formal India GST tax invoice: GSTIN, HSN/SAC, CGST/SGST or IGST breakup, amount in words
  • GSTR-1 return summary (B2B/B2C + HSN × rate) as CSV or GSTR-1-shaped JSON
  • E-invoice (INV-01) and e-way bill (EWB-01) payloads built from the invoice itself
POS GST invoice GSTR-1

Customer khata (receivables)

  • Who owes what, aged into 0–30 / 31–60 / 61–90 / over-90 days off the invoice date
  • An A4 statement per customer for any period — opening balance, invoices, payments, credit notes, refunds, closing balance and a running ledger
  • PDF download, print view, or a portal link the customer opens without a login
  • A one-click reminder that queues the payment nudge per open invoice
  • Collect across several invoices at once, and a CSV export of the register as filtered
Aging Statements Collect

Purchasing & payables

  • Suppliers and purchase orders; receiving goods posts straight to the inventory ledger
  • Supplier bills with their own invoice number and due date, and an aging report (1–30 / 31–60 / 61–90 / 90+)
  • One-click payment runs, and a supplier statement that reconciles to the per-bill register
  • Supplier returns (RMA) credit goods back against a bill, with a per-line “back to stock” switch
  • A return can ask for a replacement instead of a credit — the swap is tracked and lands back on the shelf without moving payables
PO GRN RMA

Online payments

  • Turn an invoice balance into a hosted-checkout link via Razorpay, PhonePe, Cashfree, Stripe or PayPal
  • Credited to the sale exactly once, on browser return or a signed webhook
  • A customer can tick several invoices and pay them in one payment — each receipted for its own amount
  • Ships disabled with no keys seeded; online collection starts when you enter your own credentials
UPI / cards Webhook-verified

Money in: collect & credit control

  • Collect on the khata allocates one payment across a customer's open invoices — oldest-first, editable per invoice, excess reported
  • Clearing a received cheque asks which invoices it pays, so one cheque can cover several
  • Credit limits per customer (or a shop-wide default), checked at the POS and when a quotation becomes an invoice — off, warn or block
Allocations Cheques Credit limits

Post-dated cheque register

  • Cheques in and out with a real lifecycle: pending → deposited → cleared
  • Bounced returns it to the drawer with its reason kept; cancelled needs a reason
  • Clearing posts the money movement to the account exactly once
  • The summary leads with what is due in the next seven days, with automatic cheque-due reminders
Lifecycle 7-day view Reminders

Accounting & bank feed

  • Money accounts, income / expense categories and a unified cash ledger with transfers
  • A bank-statement importer that matches lines to the books — and posts what the shop forgot
  • Every line matched, ignored or posted: nothing left unexplained
  • Recurring expenses — rent, internet, a retainer — posted as real ledger entries on schedule, from the screen or cron
Ledger Bank feed Recurring

Close the day

  • Per-method takings net of refunds, and an itemised drawer reconciliation
  • A frozen Z report you can reprint months later
  • Optional cash-drawer sessions for a shift or a handover: open with a float, close with a count
  • A drawer that does not balance refuses to close without a written reason
Z report Drawer sessions

CRM & appointments

  • A lead pipeline from new to won, with activity logging
  • One-click conversion of a won lead into a customer
  • A booking desk — walk-in, phoned-in or public self-booking — that converts to a repair ticket in one click
Pipeline Booking desk

Loyalty, store credit & AMC

  • Points earned on paid sales, converted into store-credit wallets
  • Annual maintenance contracts with visit logging
  • Automatic renewal reminders and renewal invoicing
Points Store credit AMC

Feedback & communications

  • A post-delivery CSAT rating link whose results roll up into testimonials
  • Email, SMS and WhatsApp through one branch-aware queue with editable per-channel templates
  • Automated payment, repair-status, cheque, warranty and AMC reminders
  • An optional owner daily digest, so the shop reports itself
CSAT WhatsApp / SMS Reminders

HR, shifts & payroll

  • Staff records, and shifts with working hours and a grace period, assigned in bulk from the roster
  • A daily attendance board that flags late check-ins against the shift each person is on
  • Leave balances, and a holiday calendar whose paid / unpaid flag keeps payroll from deducting a closed day
  • Monthly payslips with holiday days — print, PDF, or messaged to the employee
  • Technician commission rules — a share of repair revenue, a share of parts, a flat amount per job, or any mix — computed from the period's delivered jobs and paid on the payslip
  • Staff advances whose instalments payroll recovers automatically, oldest first, until the advance closes itself
  • Staff self check-in from a phone, with an optional geo-fence that refuses a missing location rather than waving it through
Shifts Commissions Payslips

Reports, security & multi-branch

  • Business reports across sales, repairs, inventory, purchases, P&L and payroll
  • Seven built-in roles and a per-permission catalogue you can tailor
  • Staff two-factor sign-in (TOTP) and login lockout, with an append-only audit trail
  • Every operational record is scoped to a branch; staff see only their branches
  • Bulk CSV import for customers, products (with opening stock), suppliers and opening shelf counts — auto-detected columns, a preview that names every skipped or unreadable row, and a commit that never overwrites
RBAC 2FA Audit CSV import

Safe operations & updates

  • One-click backup and restore that stays reachable even when the licence is locked
  • An optional offsite copy of every backup to an S3-style bucket or any HTTPS endpoint
  • AES-256-GCM encryption whose passphrase can live in the config file and never in the database — and you can list the bucket and restore straight from it
  • In-app updates applied only from vendor-signed packages: verified, backed up, and rolled back if anything fails
Backups Offsite Signed updates

Customer portal & installable app

  • A separate low-privilege portal where customers track repairs and their live queue position
  • Approve or reject estimates, view and download invoice PDFs, pay online, book a visit and leave feedback
  • Add RepairFlow Pro to a phone or desktop home screen — a manifest served by the app itself, icons in your brand colours, and a service worker that caches only the static shell (never a logged-in page)

Installing

On your own hosting, in one sitting.

Copy the files to your web root and open it in a browser. The installer checks PHP, MySQL and the extensions, writes the configuration, builds every table and creates your first administrator — no build step, no Composer.

Shared hosting or XAMPP

RepairFlow Pro runs unmodified on XAMPP / WAMP and on ordinary shared hosting (Hostinger, cPanel and similar). The migrator is idempotent and doubles as the upgrade path — re-run it after replacing files and your data is untouched.

No framework Idempotent upgrade

A sample shop to explore

An optional one-command demo seeds a fully populated shop — repairs with photos and logged time, aged balances in every receivables bucket, cheques in every state, payroll and more. It is idempotent and runs in a single transaction; it is for evaluation only and never for a live shop.

Evaluation only One transaction
Plans

Start on a full-feature trial, then pick by size.

With no key configured at all, the app runs as a 14-day full-feature trial from first launch, then a 7-day grace period — after which editing locks while public viewing and data backup stay available, so your data is never held hostage. Licensing is a purchase code (Envato / CodeCanyon) or a signed key from our own licence server. A Super Admin account is never limited.

Plain PHP 8 with MySQL or MariaDB: XAMPP / WAMP on a shop PC, or ordinary shared hosting such as Hostinger or cPanel. There is no framework, no Composer and no build step, and the app can be added to a phone or desktop home screen.

A formal GST tax invoice with GSTIN, HSN/SAC and the CGST/SGST or IGST breakup — plus a GSTR-1 return summary as CSV or GSTR-1-shaped JSON, and e-invoice (INV-01) and e-way bill (EWB-01) payloads built from the invoice itself. Your accountant files it; signing and registration stay with your own GSP credentials.

Yes. Every operational record is scoped to a branch and staff see only their branches; stock can be transferred between branches with short deliveries received in part. Plans differ by size: Starter runs one branch, Pro up to three, Elite unlimited.

In your own MySQL database on your own server — not ours. One-click backup and restore stays reachable even when the licence is locked, and an optional offsite copy can encrypt every backup (AES-256-GCM) to an S3-style bucket or any HTTPS endpoint, from which you can restore directly. Updates are applied only from vendor-signed packages, with automatic rollback if anything fails.

Yes — through the customer portal, a separate low-privilege surface where customers track repairs and their live queue position, approve or reject estimates, download invoice PDFs, pay online, book a visit and leave feedback. Statement links open without a login.

Install it and run it with no key at all: you get 14 days of full features. Or send an enquiry and we will set up a trial with your own services, parts and tax rates, and walk your counter and bench staff through the screens.

Run it on your own hosting with your own tickets before you decide. Installation and training are part of the licence.
